This position is responsible for coordinating scheduling support activities, payroll administration support, workforce reporting, travel coordination, and operational documentation processes.The Operations Support Specialist functions as an internal administrative resource supporting program leadership, field operations, payroll, recruiting, and human resources. The position does not directly supervise field personnel or manage client-facing security operations, but instead focuses on process coordination, reporting accuracy, workforce administration, and operational support functions necessary for efficient program execution.RESPONSIBILITIES:Schedule and Workforce ManagementCoordinate advanced scheduling activities in WinTeam to support contract staffing requirementsProcess schedule adjustments and maintain schedule documentation within established timelinesReview weekly scheduling activity reports for completeness and accuracyTrack staffing vacancies and communicate open positions to recruiting personnelMonitor employee time-off requests and maintain related scheduling recordsMaintain workforce tracking logs, scheduling spreadsheets, and related administrative documentationPayroll and Timekeeping AdministrationResearch and process payroll correction requests in coordination with payroll and field managementAudit timekeeping records and scheduling entries to identify discrepancies requiring correctionTrack and document payroll adjustments, employee pay issues, and related follow-up actionsSupport weekly payroll processing activities by validating workforce data and schedule alignmentMaintain organized payroll and reimbursement documentation in accordance with company proceduresReporting and Operational AnalysisConsolidate weekly operational variance reports across assigned federal programsPrepare recurring workforce and scheduling reports for program leadership reviewMaintain operational reporting repositories and administrative recordsSupport audit preparation and compliance documentation activitiesAssist with onboarding coordination and administrative processing activitiesTravel and Administrative SupportProcess mileage reimbursements in accordance with company policyCoordinate travel arrangements for program personnel, ensuring compliance with company and contract requirementsSupport onboarding coordination and administrative processes in partnership with recruiting and HRCross-Functional CoordinationCoordinate with payroll, recruiting, human resources, and operations personnel regarding administrative support mattersProvide administrative support for program mobilizations, transitions, and special projectsAssist with process standardization and workflow improvement initiativesCompliance and Data SecurityEnsure all activities are performed in accordance with contractual requirements, company policies, and federal standardsSafeguard Sensitive Security Information (SSI), Personally Identifiable Information (PII), and other protected dataMaintain strict adherence to documentation, reporting, and recordkeeping requirementsQUALIFICATIONS (MUST HAVE):High school diploma or equivalentUnited States Citizenship (as required for government contract compliance)Valid driver’s license if driving a company vehicle, or personal vehicle in the course of conducting business (e.g., client visits, attending networking events)Minimum of three (3) years of leadership experience in a high-volume workforce environment, preferably in the protective service industryMinimum of three (3) years of experience in operations support, workforce management, scheduling, payroll administration, or related fieldWork experience in successfully building and developing teamsProficiency in Microsoft Office and workforce management systems (WinTeam preferred)Strong analytical and problem-solving skills with attention to detailAbility to manage multiple priorities in a fast-paced environmentEffective oral and written communication skillsAbility to handle sensitive information with discretionStrong organizational and time management skillsPREFERRED QUALIFICATIONS (NICE TO HAVE):Experience supporting federal government contracts or subcontractor programsFamiliarity with labor tracking, scheduling analytics, and variance reportingKnowledge of security services or protective services operationsCollege degree in Business Administration, Criminal Justice, or related fieldCOMPENSATION & BENEFITS:Pay rate: $25.50 per hourMedical, dental, vision, basic life, AD&D, and disability insuranceEligibility for our retirement plansEight paid holidays annually, five sick days, and four personal daysVacation time offered at an accrual rate of 3.08 hours biweekly.
